Terms & Conditions

1. Parties and Application
This agreement sets out the terms and conditions between the traveler ("you" or "your") and Silver Beech Outdoor Guides ("the company," "we," "us," or "our"). By booking a trip with us, you agree to these conditions on behalf of yourself and any accompanying persons.
 

2. Booking and Payment
Full payment of the total trip cost is required at the time of booking. We accept payments via bank transfer and major credit cards, subject to processing fees.
We recommend booking at least 60 days in advance to secure your spot, as availability cannot be guaranteed closer to departure.


3. Booking Changes and Cancellations
Changes by You:
You may request changes (dates, trips, participants) free of charge up to 90 days before departure. Requests made within 89 days or less may be subject to additional fees. All change requests must be submitted in writing.


Cancellations by You:
All cancellations must be made in writing. Refunds will be provided as follows:
90+ days before departure: Full refund of payments made
89–60 days before departure: 25% of total trip cost forfeited, or free transfer to a new date
59–30 days before departure: 50% of total trip cost forfeited

Less than 30 days before departure: No refund


Changes by Us:
We may revise itineraries due to unforeseen circumstances. These changes do not constitute a breach of contract.


4. Minimum Numbers and Trip Confirmation
All small group trips require a minimum of 3 participants to run. We will send a trip status update 3 months before departure outlining current bookings and the likelihood of the trip proceeding.
A final decision will be made 2 months before departure, confirming whether the trip will go ahead.
If minimum numbers are not met, you may:
Transfer your booking to another available date at no extra cost, or
Receive a full refund.
Please wait until your trip is confirmed before booking non-refundable travel or accommodation.


5. Force Majeure
In events beyond our control (e.g., natural disasters, pandemics), we may cancel or alter trips. Options include rescheduling or issuing a credit towards a future trip.


6. Our Commitment to Safety and Sustainability
Safety is paramount, and all guides strictly adhere to safety protocols. We are committed to sustainable tourism practices, reducing our environmental impact and supporting local communities.


7. Liability Waiver and Assumption of Risk
Participation involves inherent risks. By booking, you acknowledge these risks and release the company from liability for any injury, loss, or damage that occurs during the trip.

8. Risk Disclosure
Activities may involve exposure to environmental hazards, difficult terrain, and other risks. You accept responsibility for your safety and actions. It is your responsibility to inform us of any health or fitness issues that may affect your participation and to disclose relevant medical conditions. Please refer to our Risk Disclosures page for further information.


9. Special Requests and Health
Please inform us of any special requests or health issues at the time of booking. While we will do our best to accommodate, we cannot guarantee fulfilment. You warrant your fitness to participate.


10. Insurance
Comprehensive travel insurance covering medical emergencies and trip
cancellations is strongly recommended.

 

11. Use of Images and Feedback
By participating, you consent to the use of images or videos taken during the trip for promotional purposes. You also agree that any reviews you provide may be used for marketing.
 

12. Governing Law
This agreement is governed by New Zealand law. Any disputes will be resolved under the jurisdiction of New Zealand courts.


13. Privacy
We are committed to protecting your privacy in accordance with applicable laws and our privacy policy.
