Terms & Conditions

1. Parties and Application
 

These Terms & Conditions form the agreement between you (“you” or “the traveller”) and Silver Beech Outdoors Limited (“the company,” “we,” “us,” or “our”). By booking a trip with us, you agree to these conditions on behalf of yourself and any accompanying persons.

2. Booking Categories & Payment Requirements
 

Silver Beech Outdoors offers two categories of guided experiences. Each category has its own booking and cancellation terms to reflect the planning, logistics, and supplier commitments involved.


2.1 Signature Multi-Adventure Trips

 

South Island Grand Tour • Crown Jewels • Customise Your Journey (Custom Itineraries)
Full payment is required at the time of booking.
We recommend booking at least 6–12 months in advance due to high-demand accommodation and supplier requirements.
Bookings must be made at least 60 days before departure to guarantee availability. Requests within 60 days may be accepted depending on availability.


2.2 Private Experiences

 

Private Hiking Experiences • Milford Sound Tours • Winter Concierge Products
Full payment is required at the time of booking.
Bookings are accepted up to 24 hours before departure, subject to availability.
Guests are encouraged to book 1 week+ in advance to ensure guide availability and smooth planning.

3. Booking Changes & Cancellations
 

3.1 Changes by You
 

Signature Multi-Adventure Trips
Changes (dates, trip selection, participants) may be requested up to 90 days before departure free of charge.
Changes within 89 days or less may not be possible due to supplier commitments and may incur additional costs.
All change requests must be submitted in writing.


Private Experiences
Change requests must be made in writing and will be accommodated where possible.
Changes made within 48 hours of departure may not be possible.

3.2 Cancellations by You
 

Signature Multi-Adventure Trips
Refunds are based on the time before departure:
90+ days: Full refund
89–60 days: 75% refund
59–30 days: 50% refund
Less than 30 days: No refund


Private Experiences
7+ days: Full refund
6–2 days: 50% refund
24 hours or less / no-show: No refund
All cancellations must be submitted in writing.

**4. Minimum Numbers & Trip Confirmation
 

(Signature Multi-Adventure Trips Only)**
A minimum of 2 guests is required for Signature Multi-Adventure Trips to operate.
A final Go/No-Go decision is made 90 days before departure.
If minimum numbers are not met:
You may transfer to another departure at no extra cost, or
Receive a full refund, or
Receive a 24-month credit.
Private Experiences do not require minimum numbers.

5. Cancellations by Us
 

Signature Multi-Adventure Trips
Trips may be cancelled if minimum numbers are not met at 90 days, or if unforeseen operational issues arise. Guests may choose from:
Full refund
Transfer to another date
24-month credit


Private Experiences
If unsafe weather, road closures, or operational issues prevent the trip from running, guests may choose a full refund or transfer.

6. Itinerary Changes
 

Weather, safety considerations, supplier availability, and operational needs may require adjustments. These do not constitute a breach of contract. An equivalent or improved experience will always be provided.

7. Force Majeure
 

Events beyond our control (e.g., severe weather, natural disasters, pandemics, government restrictions) may require cancellation or changes. Options may include credits, rescheduling, or refunds where possible.

8. Liability Waiver & Assumption of Risk
 

Outdoor activities involve inherent risks. By booking, you acknowledge and accept these risks and release the company from liability for injury, loss, or damage during the trip, except where prohibited by law.

9. Risk Disclosure & Health Requirements
 

You must disclose any medical or fitness conditions that may affect participation. Some trips involve uneven terrain, variable weather, water crossings, and remote environments. Please refer to our full Risk Disclosure Statement.

10. Special Requests
 

We will do our best to accommodate special requests (dietary needs, room configuration, etc.) but cannot guarantee availability.

11. Insurance
 

Comprehensive travel insurance covering medical emergencies, evacuation, trip cancellation, and lost property is strongly recommended at the time of booking.

12. Use of Images & Feedback
 

By participating, you consent to the use of images or video taken during the trip for promotional purposes, unless you request otherwise in writing. Testimonials or reviews may also be used for marketing.

13. Governing Law
 

These Terms & Conditions are governed by New Zealand law. Any disputes will be resolved under the jurisdiction of New Zealand courts.

14. Privacy
 

We protect your personal information in accordance with New Zealand privacy laws and our published Privacy Policy.
